Chat Backup Checklist: What to Check Before, During and After Export

Use this practical checklist to reduce missing dates, skipped media, duplicate messages and insecure archive handling.

Most failed backups are not caused by choosing the wrong button. They happen because the wrong chat was open, old history was not loaded, the browser went to sleep, attachments were never tested or the only copy was moved somewhere unsafe. Use this checklist as a repeatable operating procedure.

A backup is complete only after you have opened and checked the output. “File exists” is not a verification method.

Before export: define the target

Decide which account, conversation and date range you intend to preserve. Choose formats according to future use and confirm you are authorized to store the content.

  • Correct account/chat.
  • Required oldest/newest period.
  • PDF/CSV/ZIP choice.
  • Stable connection and enough disk space.
  • Privacy/permission review.

During scan/export: keep the source stable

For long histories, allow the platform to load the required range. Keep the target tab open, prevent the computer from sleeping and avoid switching to a different conversation during capture.

  • Monitor progress.
  • Do not close/reload the tab without reason.
  • Use parts/checkpoints for exceptional histories.
  • Wait for generation/download to finish.

After export: verify content, not just file size

Open every output type you plan to keep. Check boundaries and a distinctive middle section; for media archives, open sample files from different periods.

  • Earliest required item.
  • Middle phrase/message.
  • Latest required item.
  • Sample images/videos/documents.
  • Readable names/dates/formatting.

Storage: make the archive recoverable

Rename the archive clearly, place it with related project context and create another copy if the conversation is important.

Record known missing resources rather than forgetting them.

  • Topic/participant/date naming.
  • Second independent copy.
  • Known-gaps note.
  • Periodic re-open for long-term archives.
